Igaware Linux Small Business Server Case Study – 25 Users

North Tyneside Carers’ Centre is an independent charity supporting people caring for others on an unpaid basis. Until 2008 their computer systems were wholly Microsoft based. They were using a Microsoft 2003 Small Business Server, and a Microsoft Terminal Server which provided staff with remote access to a centralised database system.

In 2008, the Microsoft Small Business Server crashed due to a hardware failure. The server hardware couldn’t be repaired, and because the Small Business Server software was only for the supplied hardware (OEM version), the only option was to purchase and install a completely new server.

Keith Metcalf from North Tyneside Carers’ Centre told us, “We were unable to get the Microsoft Small Business Server repaired, and were without IT services for two weeks. It was a complete nightmare. We decided we would look for a more reliable alternative, which is when we came across the Igaware Linux Small Business Server.”

The Igaware Linux Small Business Server offers a direct upgrade path from Microsoft Small Business Server offering the same benefits of Exchange Email and File Serving, but on a more reliable and secure platform. The Igaware Linux Small Business Server includes Internet and Email Security, and Data Backup options.

Keith added, “We have been using the Igaware Linux Small Business Server for over five years and it has proved to be a far more reliable and cost effective server. We have only ever had one problem when a hard disk went bad.  It only took 5 minutes for an engineer to replace the disk. The support we receive is excellent. “

Setting up Out of Office

If you are using Zarafa on your Igaware Linux Small Business Server then Out of Office can be set either in Outlook, or through the Zarafa web mail.

If you are just using the standard email server on the Igaware Linux Small Business Server users can manage their Out of Office notifications by logging onto a web page on the Igaware server:

https://serverip/config/USERS/vacation.php?username=xxxx

Note: serverip is the IP of your server e.g. 192.168.2.252 and xxxx is your user name.

Simple 🙂

Igaware Linux Small Business Server – Case Study – 30 Users

Joseph & Co is a specialist legal firm. They had been using Microsoft Small Business Server 2003, but it began crashing as email volumes exceeded design limitations of Microsoft Small Business Server. On top of this, staff inboxes were being inundated with Spam.

In a business where email is mission critical, and time is literally money; the firm began to consider overhauling their systems based on the following requirements:

  • Robust Exchange Server
The biggest priority was that email would be received and sent without delays using Outlook, webmail, and mobile phones.
  • Unlimited Storage
Unlimited inbox size was important, along with archiving space.
  • File Serving & Backup
Shared and secure access to central file server, with local and offsite backup.
  • Desktop Independence
Support for different versions of Windows and Outlook.
  • Security for Email & Data
Spam and malicious content to be filtered out from email before reaching inboxes. Internet security including firewalling, and web filtering.
  • Resilient
In the event of catastrophic hardware failure, a second server should be available to immediately take over handling email and data services.
  • Supported
In the event of any problems there should be the opportunity for direct contact with the vendor by phone or email, with remote support for fault diagnosis and resolution.

Option 1 Microsoft Small Business Server 2008

Joseph & Co considered Microsoft Small Business Server 2008, but it quickly became clear that Microsoft Small Business Server would fall short in terms of delivering real peace of mind due to inherent complexity, cost, and lack of vendor support.

Exchange Server, if setup and managed correctly, can be very reliable. But this is time consuming, costly and complex, involving:

  • Running and checking backups
  • Managing logs
  • Running maintenance routines
  • Spotting non-default operating parameters and configuration issues
  • Reviewing server event logs to confirm operations have completed
  • Monitoring storage
  • Tuning virtual memory
  • Solving messaging failures
  • Defragmenting information stores
  • Checking malware software for problems

A major concern was having resilience in the event of a hardware failure. The cost of just an hour downtime was considered unacceptable, making next day hardware replacement, and the possibility of a three day server rebuild, should the Exchange database become corrupt, unthinkable.

To provide resilience, one of the requirements was for a fail-over server. Microsoft Small Business Server 2008 cannot be clustered other than by implementing a complex and costly solution involving virtualising servers; something few have ever successfully achieved.

Microsoft Small Business Server was discounted on the grounds of complexity, cost and lack of vendor support.

Option 2 Igaware Linux Small Business Server

Igaware was recommended to Joseph & Co by IT consultants, Go IT. Kevin from Go IT explained, “The limitations of Microsoft become painfully clear when you need their help, as you simply can’t talk to Microsoft. Igaware offers a level of support that makes issues resolvable in minutes, not weeks, months or never. You can call them and get an immediate response from an engineer who knows more than you.”

Considering the over-riding need for a rock solid solution Igaware was chosen to replace the Microsoft Small Business Server.

Robust Exchange Server
The Igaware Small Business Server runs Zarafa, an Exchange replacement solution that fully supports Outlook, provides webmail, and includes ActiveSync for mobile email, calendars, tasks and contact synchronisation.

Unlimited Storage
Email database size is unlimited. Extra storage is easy to add – as simple as adding additional hard disks.

File Serving
The Igaware Linux Small Business Server delivers secure centralised file serving with access by any authorised user on the local network (as a member of a workgroup or domain), via secure VPN connection, and secure web interface. Backup  of all data and email, on or/and off-site.

Desktop Independence
Igaware is compatible with all flavours of Windows, Mac, and Linux. This means Joseph & Co  were not forced to upgrade all their Windows desktops, as would have been required with a Microsoft Small Business Server upgrade.

Security
Igaware has security built in; firewalling, email filtering, web filtering, and intrusion detection/prevention. These defences comply with standards set by the Payment Card industry. These high standards are assured through independent third party testing. New security patches and updates are released to Igaware servers in real time, continuously, eliminating vulnerability.

Resilient
Igaware was deployed using two rackmount servers, synchronised real-time via a Gigabit Ethernet link. Should one server fail, the other one takes over. Igaware uses a Linux operating system which is widely regarded as being highly robust, and efficient.

A major advantage of Igaware is that there is no maintenance burden for the customer . Igaware continuously update software to latest versions, release security updates, and monitor software processes and hardware health, ensuring rock solid reliability. Pre-fail tests alert Igaware, and the customer of any issue before it becomes a show stopper. Problems with memory, hard disk space or integrity, for example, result in automatic email alerts so issues can be dealt with pro-actively, avoiding downtime.

Supported
Igaware has a very easy to use web admin that Joseph & Co  can access to manage things like adding or removing users, setting access permissions on file server, checking email reports etc. This enables the customer to take control of day-to-day tasks.

If there’s an issue, Joseph & Co  can speak to Go IT who can use the built in status console and log viewer to see exactly what’s going on. In turn, Go IT can telephone an Igaware engineer directly who can remotely access the server and run high-level diagnostics. Problems can be sorted in minutes.

Affordable
Major cost savings due to system reliability – ZERO downtime.

Kevin from Go IT explained, “The Igaware Small Business server has been rock solid, meaning a delighted customer. Our life is much easier not having to keep up with the complexities and, quite frankly, nonsensical aspects of Microsoft Small Business server.”

Igaware File Server Permissions – User Guide

The Igaware file server offers secure, centralised file sharing that can be managed and administered either through the Igaware administration interface, or by using Windows ACE security that allows users to control folder and file access using the Windows Security tab on Windows client machines

Note that these are two distinct options;  you use one or the other!

Creating and controlling file shares via the Igaware interface is widely accepted as being the simplest option, easy to managed and requires far less user administration than Windows ACE security.

Managing file servers shares and permissions using the Igaware administration interface

By default the Igaware file server is enabled to be administered through the Igaware admin interface. To access the Igaware admin interface, open a web browser and enter the address of the server on your network e.g. https://192.168.2.252

Login to the admin interface with the admin user name and password, and go to Server=>Windows Services=>General. Under General there is a checkbox option  ‘Allow Windows ACE Security’. By default this is disabled.

To create a file share go to Servers=>Windows Services=>File Server Shares

On this page you can create shares and choose who has read/write access and who has read only access. Any folders and files created within this share inherit the permissions of the share. Put simply, if you create a share called, for example, Finance, and you you allow Jane, Fred, and Rod, read/write access, they can then access any thing kept in the share, create folders in the share and save files in this share.

By default there is a Public share. Anything in here, folders and files, can be accessed by everyone by default.

Managing file servers shares and permissions using Windows Ace Security

Login to the Igaware admin and go to Server=>Windows Services=>General and use the checkbox option  to enable ‘Allow Windows ACE Security’.

To create a file share go to Servers=>Windows Services=>File Server Shares

On this page you can create shares and choose who has ownership of the share. The owner then has full control over that share, including setting who has what access to it. This access is controlled through the owner’s Windows client using the ACE security tab.

Note: As well as setting ownership of a share to a specific user, you can also set it to a group of users, providing those users are part of a domain. These groups can be those created on the Igaware Server and, or those created on another domain controller, e.g. Active Directory, that the Igaware has been joined to.

To access the ACE tab in windows, go into Windows explorer and find the share, right click on that share, select the security tab and then select the advanced button – you can then change permissions, including setting permissions to be inherited.

The owner can create  folders within the share in Windows explorer and amend permissions to each folder in the same way, as needed.

Example: If you create a share called, for example, Finance, and you are the owner, you have to use your Windows client computer to then open up the ACE security for that share, and allow access for Jane, Fred, and Rod. You can set these permissions to be inherited so sub folders automatically inherit these permissions.

Igaware Linux Small Business Server releases support for Amazon S3

UK vendor Igaware, has announced support for the Amazon S3 (Simple Storage Service), enabling Igaware Linux Small Business Server customers to use Amazon S3 for off-site backup.

Tim Sexton, Igaware Sales Director told us: “Customers told us they wanted an off-site backup service that would allow them to choose to have their data backed up within the EU, enabling them to meet with regulatory requirements; Amazon S3 has a data centre in Ireland. Igaware Linux Small Business Server customers can now simply tick a box to use Amazon S3 as a backup destination.”

Another important factor influencing the Igaware decision to support Amazon S3, was that it overcomes the fact that it can take many days to restore data over the Internet; 250 Gigabytes of data can take over 30 days to restore using a standard broadband connection.

Chris Moore, Igaware Technical Director, explained:  “Amazon S3 gets around the problem of backing up large amounts of data over the Internet with their AWS Import/Export service. A backup can be run to an external hard drive, and shipped directly to Amazon S3. This gets the initial backup in place, and the Igaware Linux Small Business Server can then backup daily changes in data thereafter. In the event of a full system restore, data can be shipped back to the customer, next day. Amazon S3 fits in with our approach of making things easy for customers.”

The support for Amazon S3 has be rolled out automatically to Igaware Linux Small Business Server customers, as part of the Igaware continuous update service.

The Alternative to Microsoft Small Business Server

This briefing considers the alternative to Microsoft Small Business Server following Microsoft’s announcement to end their Small Business Server product line.

Judging by comments on various Microsoft forums, to say the announcement has gone down like a lead balloon, is something of an understatement; ‘by FAR the biggest BONE HEAD decision Microsoft has made’, ‘very poor decision and gives us no real choice’.

Resellers are angry because Microsoft is ending Small Business Server in its tracks, without consultation or warning, and replacing it with, not one, but several products that increase end user costs, reduces reseller margins, and cuts value added revenues. The new strategy pushes customers to the Cloud, something that simply isn’t practical for businesses using standard broadband, and for business owners who like their data secured in their offices.

Small Business Server was popular with customers as it gave them a Windows Server and Exchange in a single server, for up to 70 users. The new offering consists of Windows Server Essentials, but only if you have 25 users or less, and either a separate Exchange server or Hosted exchange.

Customers over 25 users are now considered to have the same needs and budget as enterprise customers, and will have to spend separately on a Windows Server and Exchange.

Igaware iSCSI feature

Need extra space for one of your servers? Then with iSCSI you can allocate hard disk space, on your Igaware box, to that server. This saves having to buy and install a physical disk for your server. No cost, no downtime. This feature is often used by end users who are using the Igaware as a UTM, leaving significant disk space to be allocated to one of their windows servers.

It’s easy to enable on the Igaware Server. Log into the admin interface and go to Servers => iSCSI. Here you can enable iSCSI, set authentication, and create LUNs as necessary.
